We’re Dotfusion. We help businesses with web design, graphic design, SEO and social media. To do that, we sometimes need to collect personal information from you. This policy tells you what we collect, why we collect it, who sees it, and what rights you have.

In this policy, “we”, “us” and “our” mean Dotfusion. “You” means anyone who visits our website, contacts us, or uses our services.
We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What personal information we collect
We collect different types of info depending on how you deal with us.
When you contact us or request a quote:
- Your name
- Email address
- Phone number
- Business name
- Project details and any other info you choose to share
When you become a client:
- Billing details (business name, address, ABN)
- Bank or payment info for invoicing
- Login details for systems we manage on your behalf (your website hosting, social media accounts, ad accounts)
- Any content, files or assets you give us for your project
When you visit our website:
- IP address
- Browser type and version
- Device type
- Pages you visit and how long you spend on them
- Referring website
- Approximate location (city level)
When you apply for a job with us:
- Your CV and cover letter
- Work history
- References
- Any other info in your application
We try to only collect what we actually need.
How we collect it
Most of the time we collect info directly from you when you:
- Fill in a form on our site
- Email or call us
- Sign a contract or proposal
- Send us files for a project
- Apply for a job
We also collect some info automatically through cookies and tracking tools when you browse our site. More on that below.
Sometimes we collect info from third parties, like a referral source, a public business directory, or LinkedIn.
Why we collect it
We use your personal info to:
- Reply to your enquiry
- Send you quotes and proposals
- Deliver the services you’ve hired us for
- Manage your account and send invoices
- Improve our website and services
- Send you marketing emails (only if you’ve opted in or are an existing client)
- Run paid ads to reach people who might be interested in what we do
- Meet our legal and tax obligations
Cookies and tracking tools
Our site uses cookies and similar tools to understand how visitors use it and to run ads.
Tools we use:
- Google Tag Manager: manages our tracking tags
- Google Analytics: tells us how people use the site (anonymous, aggregated)
- Google Ads: lets us run search and display ads, and track which ads bring in enquiries
- Meta Pixel (Facebook/Instagram): lets us run social media ads and measure their results
These tools may track your activity across other sites you visit. Google and Meta act as separate data controllers and have their own privacy policies.
Your choices:
- You can block cookies in your browser settings.
- You can opt out of Google Ads personalisation at adssettings.google.com.
- You can manage Meta ad preferences in your Facebook or Instagram settings.

Who we share your info with
We don’t sell your personal info. Ever.
We do share it with a small number of trusted parties when we need to:
- Cloud and software providers that store our data (email, file storage, project management tools)
- Payment processors that handle invoicing and payments
- Hosting providers that host websites we build
- Ad platforms (Google, Meta) when we run campaigns on your behalf or our own
- Accountants and lawyers when needed for tax or legal reasons
- Government bodies if required by law
We pick service providers who take privacy seriously, but we can’t control what they do once your data is in their systems.
Sending data overseas
Some of the tools we use are run by overseas companies (mostly in the United States). That means your personal info may be stored or processed outside Australia.
The main places your data may end up:
- United States: Google services (Analytics, Ads, Workspace), Meta (Facebook/Instagram), most major cloud platforms
We take reasonable steps to make sure overseas providers handle your data in line with the Australian Privacy Principles, but their countries may have different privacy laws to Australia.
Marketing emails
If you’ve given us your email, we may send you tips, offers and updates from Dotfusion.
Every marketing email has an unsubscribe link at the bottom. Click it once and you’re off the list. You can also email us and ask to be removed.
We follow the Spam Act 2003. We won’t send marketing emails to people who haven’t agreed to receive them, except where the Spam Act allows it (for example, existing clients about related services).
How long we keep your info
We keep personal info for as long as we need it.
Rough guide:
- Enquiry forms and quotes that don’t turn into work: up to 2 years
- Active client records: for the life of the engagement plus 7 years (to meet tax law)
- Job applications: 12 months unless you ask us to keep yours on file
- Marketing list: until you unsubscribe
When we no longer need your info, we delete it or de-identify it.
How we keep your info safe
We take reasonable steps to protect your personal info from loss, misuse and unauthorised access. This includes:
- Password-protected systems
- Encrypted file storage
- Restricted staff access (only people who need it)
- Regular software updates
- Secure backups
No system is 100% secure. If something goes wrong and your data is at serious risk of harm, we’ll tell you and the Office of the Australian Information Commissioner (OAIC), as required under the Notifiable Data Breaches scheme.
Your rights
Under Australian privacy law, you can:
- Ask what we hold about you. Email us and we’ll tell you.
- Ask us to correct it if anything’s wrong.
- Ask us to delete it. We’ll do it unless we’re legally required to keep it.
- Withdraw consent for marketing or other uses.
- Complain if you think we’ve mishandled your info.

If you’re not happy with how we’ve handled your personal info, tell us first. We’ll take it seriously and try to fix it.

Children
Our services are aimed at businesses, not children. We don’t knowingly collect personal info from anyone under 16. If you think we have, contact us and we’ll delete it.
Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top.
If we make a big change that affects how we use your existing info, we’ll let you know directly where we can.
